Responsibilities
Under supervision of the Provost and Chief Academic and Research Officer, the Assistant to the Provost and Chief Academic and Research Officer provides high-level support and coordination to the Office of the Provost and Chief Academic and Research Officer. The incumbent is a creative, independent problem-solver who is proactive, adaptable, and observant. The Assistant demonstrates sound judgment, discretion and close attention to detail, as well as the ability to multi-task under pressure. The Assistant performs a variety of routine to moderately complex clerical and administrative tasks in support of the activities of the Office of Provost and Chief Academic and Research Officer. The incumbent also provides professional customer and public service.
SPECIFIC DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
Provides professional-level staff support for the Provost Executive Council and the Academic Leadership Council.
Serves as the primary staff member responsible for a variety of secretarial and administrative tasksinsupportof the PROVOST/CARO’sOfficeincluding, but not limited to processing daily mail, updating files and documents, ordering and inventorying of supplies, maintaining records, compiling data, researching information, scheduling meetings and maintaining calendars, copying and filing documents, assembling materials, faxing information, etc.
Anticipates the needs of the PROVOST/CARO and assures that the PROVOST/CARO have the necessary materials and information for meetings and events.
Assists with scheduling meetings and maintaining calendars; fields requests for appointments and meetings.
Assists with travel arrangements for the PROVOST/CARO and others as directed.
Receives, reviews, processes, types, composes and/or submits a variety of documents, including routine correspondence, requisitions, reports, etc.
Receives and responds to internal and external requests for information, assistance, and complaints.
Provides in-depth analysis and detailed reports on administrative projects. Conducts research using internet and subscription tools.
Manages communications systems to keep the PROVOST/CARO organized and in touch at all times.
Manages correspondence; receives, review, processes, types, composes and/or submits a variety of documents, including routine and confidential correspondence, reports, forms, etc.; develops correspondence that translates ideas into clear, high-impact communications.
Establishes and maintains filing systems as well as other procedures and processes which optimize the information flow within and outside the Office of the PROVOST/CARO.
Greets and announces visitors; monitors visitor access and performs customer/public service duties.
Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of diverse cultures and backgrounds.
Answers a multi-line telephone; provides accurate information to callers; decides which inquiries can be handled directly, which are appropriately addressed by the PROVOST/CARO; routes calls to the appropriate staff person; receives and routes accurate messages, including faxes, for the PROVOST/CARO.
Assists with scheduling campus facilities and notifies the appropriate parties.
Assists with creating reports to the Board of Trustees and Board of Visitors as required.
Operates and troubleshoots a variety of equipment such as a computer, printer, typewriter, copier, fax machine, telephone, calculator, binder, etc.
ADDITIONALJOBFUNCTIONS
Interacts and communicates with the President, Board of Trustees, deans, department heads, unit supervisors and employees, co-workers, students, parents, faculty members, vendors, corporations, government agencies, external stakeholders, and the public, as necessary.
Performs related duties as required.
Qualifications
Must be a quick learner with ability to pay strong attention to detail. Needs strong organizational planning, interpersonal verbal and written communication skills. Must be able to determine and act appropriately in emergency situations. A high degree of judgment, tact and professionalism are also necessary. Requires a Bachelor's degree in business or other relevant field or significant experience as an administrative assistant supporting administrative/executive leadership, supplemented by a minimum of three years of responsible secretarial and/or administrative experience.
