    Role Summary
    Performs and oversees various administrative functions within a department including but not limited to; Office facilities and equipment management. Administer or support accounting processes. Support HR activities, database / system administration task.



    The Operations Coordinator I for the Department of Biomedical Engineering serves as a vital member of the department’s administrative team, responsible for ensuring the smooth and efficient operation of daily activities. This role supports faculty, staff, and students by coordinating academic, financial, and operational functions within the department. Key responsibilities include managing departmental purchasing processes, coordinating events and meetings, supporting student services (BME Mentorship Program) and academic scheduling, and serving as a liaison with other university offices. The Operations Coordinator II also plays a critical role in maintaining clear communication and tracking deadlines. This position requires strong organizational and communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic academic environment. The ideal candidate will be proactive, resourceful, and collaborative, with a commitment to supporting the department’s mission in education, research, and service.

    Examples of Work Performed
    •Coordinates and processes departmental purchases, reimbursements, and travel authorizations in compliance with university policies.
    •Prepares financial reports as needed.
    •Schedules and organizes departmental meetings, events, seminars, and faculty candidate visits, including logistics, catering, and communications.
    •Assists with undergraduate academic support tasks, such as BME Mentorship program, course scheduling, textbook orders, and classroom assignments.
    •Serves as a point of contact for faculty, students, visitors, and campus partners for departmental operations and general inquiries.
    •Maintains departmental records, files, and databases, including faculty CVs, inventories, and assessment documentation.
    •Supports the preparation and submission of internal and external reports, proposals, and documentation for accreditation or evaluation.
    •Coordinates on-boarding processes for new faculty, staff, and student workers.
    •Maintains and updates departmental website and assists with social media or newsletter communications.
    •Assists with facilities management needs, including office assignments, equipment requests, and maintenance coordination.
    •Prepares meeting agendas, takes minutes, and follows up on action items for departmental committees or advisory boards.

    Essential Functions
    These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

    1. Plans and coordinates office-wide facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders.
    2. Monitors inventory and places orders for office equipment, supplies, or provisions.
    3. Manages or administers accounting processes including budgeting, invoice processing, employee expense reports, reimbursements, petty cash, and time tracking.
    4. May support HR activities or initiatives with employee onboarding and interview coordination, and training.
    5. Performs company database or system administration tasks, including data input, reporting, user support, and upgrades.
    6. Resolves day-to-day problems and coordinates with stakeholders to obtain solutions
