Job Description:
The Data Management and Compliance Manager ensures the accuracy and integrity of student records across all institutional systems. This role involves monitoring compliance with FERPA, Veterans Affairs, and National Student Clearinghouse regulations. The Data Management and Compliance Manager collaborates with various departments to enhance student services and support institutional goals. Additionally, this role requires conducting routine internal audits to maintain data accuracy and compliance.
In this role, the Data Management and Compliance Manager is responsible for maintaining and updating student records in systems such as Banner, Degree Works, and VA Enrollment Manager. Additionally, this position manages cross-registration programs, interprets institutional transfer credit and academic policies, and coordinates with academic advising, financial aid, and faculty to ensure seamless grading and graduation processes.
The Data Management and Compliance Manager provides essential support and serves as a backup for the main office's administrative functions. Responsibilities include delivering customer service support, monitoring various email listservs maintained by the registrar's office, handling phone inquiries, and performing other duties as assigned.
Major Responsibilities:
STUDENT RECORDS (40%):
The Data Management and Compliance Manager is responsible for the secure collection, entry, and retention of student records to support university compliance with FERPA.
Perform evaluation of college transfer credit from accredited colleges, which also include transfer credit by exam (AP, IB, and CLEP)
Degree works scribing and change of major updates and concentration updates
Perform Undergraduate degree audit review and approval
Develop departmental audit reports to monitor system processes performed related to student record updates such as but not limited to change of major, leave of absence, course audits. This process will include frequent review of banner, degree works, and Argos, and BI-Query.
Monitor and develop communication plans for Registrar's Office
Develop and streamline processes related to student requests and departmental requests
Process student requests (pass/fail/course audits, transcript requests, withdrawal)
Graduation Processes & Commencement (20%): Conduct comprehensive degree audit reviews and approve undergraduate students for graduation. This includes verifying the completion of all academic requirements, coordinating with relevant departments to resolve any discrepancies, and ensuring all processes align with institutional policies and standards. Additionally, support other graduation and commencement functions as needed, including but not limited to tasks related to the commencement ceremony, diploma ordering, and distribution.
Reporting and Technology updates (10%): Manage reporting requests and analyze student-related data. Provide support for technology upgrades and enhancements.
Evaluate current processes within the office and recommend well-considered, detailed proposals for changes that would solve ongoing problems, make processing more efficient, or improve service to our community. (10%)
Support main office functional areas (15%)
Provide backup support for Main Office functions, including office listserv email, phone, transcripts, student record updates, and commencement activities.
Other duties and special projects as assigned (5%)
Requirements:

Requirements:
Bachelor's degree, advanced degree preferred
Minimum of 3 years in academic administration or related area.
Strong attention to detail and accuracy
Familiar with transfer credit evaluation processes and course curriculum
Excellent communication and interpersonal skills.
Serve as Secondary School Certifying Official (Veterans Affairs Educational Benefits)
Proficiency in data analysis and reporting tools, including Argos and BI-Query.
Experience with student information systems (SIS) Banner.
Strong knowledge of Degree Works, including scribing functions.
Knowledge of National Student Clearinghouse, Modern Campus, and EMS
Ability to multitask and meticulous attention to detail is critical along with experience managing and engaging staff members
Familiarity with FERPA regulations and other compliance requirements.
Team player with an ability to constructively collaborate with others on campus
Enthusiasm for participating with Clark as it pursues an ambitious plan for its future
