  • Job Summary:
    The Academic Program Specialist provides administrative and coordinating support for the Master of Public Health Program in the School of Medicine and Public Health. The position coordinates the operationalization of the curriculum including matriculation of students, enrollment, course offerings and curricular spaces. The person is integral in planning and implementing the signature events of the program, including orientation, day of service and graduation. The ideal candidate would have excellent written, verbal, and interpersonal communication skills, experience with client management, ability to work independently and to multitask in a fast-paced and stimulating setting. Exceptional organizational skills and problem solving skills mandatory.

    Responsibilities:
    Contributes to the development, implementation, administration, coordination, and evaluation for one or more academic programs to ensure effectiveness in meeting departmental and student development goals and initiatives. Strives to create a welcoming, equitable, and inclusive work environment.
    35% Utilizes independent judgement regarding development, implementation, promotion, and evaluation for one or more academic programs, initiatives, or events
    20% Identifies program, needs, contributes to the development of unit workflows, schedules logistics and secures resources for meetings, events, and interviews
    15% Coordinates program components and evaluates program effectiveness and provides recommendations for improvement
    10% May supervise the day to day activities of one or more academic programs and resolves issues exercising discretion to meet unit goals.
    15% Develops and disseminates communication from the program including newsletters, reports and other materials
    5% Coordinates alumni and stakeholder engagement efforts
    Tasks:
    Curriculum responsibilities include; schedule of classes, matriculation, graduation warrants, Helio campus - course evaluation
    Communication; Biweekly newsletter, report and marketing material development, front office presence
    Signature Event Planning; Recruitment, Orientation, Day of Service, Graduation, Poster Session, Spring Welcome Back
    Program Coordination; committee meeting coordination, email and listserv management
    Fiscal; Purchasing, ordering, and reconciliation

    Education:
    Preferred
    Bachelor's Degree
    Studies in Public Health, Allied Programs, curriculum and design

    Qualifications:
    Required:
    - Professional experience working in an education including coordinator or administrative roles
    - Experience working with academic and professional communities
    - Outstanding organizational skills
    - Event planning and management experience
    - Excellent written communication skills

    Preferred:
    - Three or more years of professional experience working in an educational space, or in a coordinating and administrative role
    - Knowledge of SIS and other student services programs
    - Knowledge of graduate school systems and processes including the registrar's office
    - Experience with recruitment and marketing in higher education
    - Experience working with faculty and instructional staff, students
    - Graphic design and communication experience
    - Knowledge of Wisconsin Public Health System
