    The Department is seeking (1) dedicated and experienced Business Manager II

    HERE IS WHAT YOU WILL DO

    The essential duties and responsibilities of the Business Manager II are the following:

    Review and resolve accounting transactions that require analysis and resolution.

    Audit and settle issues with orders received, contacting disbursements, purchasing, or other departments to resolve.

    Customer service supports contacting vendors for payments and credits. Follow up and resolve order concerns.

    Process invoices and quotes as needed, First-level approver in Panthermart, verifying speedtype, invoice is correct, amount on req is verified, account code is correct, and ship to address is valid.

    Serve as First-level approver for journal entries, verifying amount, checking debits and credits, speedtype, and justification. Process journal entries in Spectrum.

    Provide maintenance to the state financial records and the monthly statement for the 5.2-million-dollar budget.

    Maintain packing slips with financial reports. Update, maintain, and process all service agreements, invoicing vendor update spreadsheet.

    Perform updates with vendors and staff with expiring Purchase Orders.

    Review travel requests for accurate and supporting documentation. Provide maintenance to a budget of 5.2 million dollars.

    Approve biweekly payroll -in One USG, generate P-Card reports, obtain appropriate paperwork, and backup approver.

    Prepare letters, create forms and documents as needed.

    Prepare UPS orders and shipments, maintain and update the Institute Directory and org chart.

    Add, maintain human capital data on Institute spreadsheets, in databases, and in the internal shared drive, for departmental HR archives.

    Process Moving Expense Reimbursements, initiate Manager Self Service transactions, create and maintain employee records and files.

    Gather information to process visa requests. Gather information to assist with HR transactions. Submit building request.

    Process check requests for visa processing.

    Use Taleo to add vacant positions.

    Process HR transactions and visa in IStart request upon request.

    Gather data for departmental records, process travel authorizations, travel reimbursements for faculty and staff, and make flight/hotel/car reservations upon request.

    Respond daily to departmental questions and requests and provide excellent customer service within the institute and the university community.

    Provide backup for administrative staff as needed, other duties as assigned.

    Qualifications:
    Minimum Requirements:

    Bachelor’s degree and four years of related experience, or a combination of education and related experience.

    Preferred Hiring Requirements:

    Prefer a candidate with an MS or similar degree and experience managing multiple projects in a research environment.
