About the Department
North Carolina State University Transportation Department (NC State Transportation) is a receipts-supported auxiliary within the Office of Finance and Administration responsible for parking and transit services, managing 20,000 parking spaces, maintenance and operation of 10 parking decks, enforcing parking regulations, parking citation review and appeal and administration of a 10-route transit system serving over 2.7 million riders per year.
Essential Job Duties
The Administrative Support Specialist in the Department of Transportation is responsible for managing the department’s database system, ensuring the integrity of financial transactions, and supporting key accounting functions. In this role you will assist with maintaining the accuracy and efficiency in transportation operations by auditing payments, reconciling records, and assisting with procurement and compliance tasks to keep daily operations running smoothly.
Key Responsibilities include but are not limited to:
Maintain and audit the department’s database system, scanning documents and performing data entry, ensuring accuracy and reliability
Review daily transactions, verify purchases under $5,000, and reconcile coupon validations
Oversee facility billing and monitor departmental utility expenses
Approve and order departmental supplies using marketplace vendors
Serve as a backup for Accounts Payable and Receivable, handling journal entries, purchase vouchers, and requisitions
Support IT staff with annual computer inventory, conduct monthly PCI and credit card equipment verification, and assist with mailing ticket billing statements

Other Responsibilities
In addition to the core responsibilities of this role, there will be occasional opportunities to take on additional duties. Some of these opportunities will be cross-training in accounting functions to assist others in daily tasks and special projects as needed. Additionally you will get to learn how to use NC State Transportation’s parking software, AIMS, as well as all of the University’s accounting systems. This offers an opportunity to build on your skills, explore new areas, and gain a deeper understanding of the department’s operations.
Qualifications
Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications
Comfortable using a computer and learning department-specific software, including transportation database management and financial systems.
Experience with or willingness to learn Microsoft Excel and the Wolfpack reporting system.
Accurate data entry skills with strong attention to detail.
Ability to manage multiple tasks and maintain organized records.
Willingness to learn accounting principles, state guidelines for record retention, and audit documentation requirements.
Ability to identify and resolve discrepancies in financial records.
Preferred Qualifications
Familiarity with using PeopleSoft Financials
Proficient in Microsoft Excel and Google Sheets
