Knowledge, Skills, and Abilities
Knowledge: Banner, Tigerbuy, Microsoft Office Suite, Event Management System, bookkeeping, accounting, Chrome River System (travel & reimbursement system), purchasing card administration, and scheduling system. Past Perfect or similar museum collection software,
OPAC (Online Public Access Catalogs) experience and DAC (Digital Asset Management Systems.
Skills: effective communication with students, faculty, staff, and constituents; organizational skills,
Abilities: to make independent decisions as needed, to network across university administration and outside agencies. Manage multiple projects simultaneously. Meets deadlines.
Duties & Responsibilities
FINANCIAL MANAGEMENT:
Daily management of operating budget, Foundation budget, grant budgets, student employment contracts, vendor contracts. Investigates and resolve accounting discrepancies.
Assists director in preparing budget by forecasting the department’s financial requirements,
monitors expenses, and prepares forms and documentation for expenditures. Reconciles monthly account statement and prepares budget revisions.
Serves as P-Card administrator. Orders supplies and equipment via TigerBuy.
Serves as department equipment representative.
Reserves and approves spaces for meetings and events using EMS system.
Makes travel arrangements for staff and visitors; prepares travel purchase orders and travel claims.
Duties & Responsibilities
INFORMATION MANAGEMENT
Manages all records management systems including: U of M finances and AMUM’s art collections, archives, research library, and digital collections and catalogs.
Creates archival finding aids and original authority records according to national standards.
Arranges and describes collections to maximize discovery and access. Creates descriptive metadata and uploads to the University Libraries Digital Commons repository.
Certifies and submits annual Records Inventory in compliance with State of Tennessee’s records retention schedule.
Is primary manager of the Crone archives collection and art collection digital information system.
Duties & Responsibilities
GRANTS
Researches and identifies grant opportunities for the Director.
Prepares a schedule that allows for timely completion and works with Director and/or project director.
Prepares grant budgets, proofreads, edits texts and uploads to Cayuse.
Manages awarded grant expenditures in compliance with the U of M grants accounting.
Duties & Responsibilities
STUDENTS/TEMPORARY EMPLOYEES
Prepares graduate assistant and student employee contracts.
Interviews and recommends hiring of student and temporary employees.
Monitors work hours to ensure salary stays within budget.
Trains and supervises student or temporary workers and student researchers using AMUM’s collection and archival record systems.
