The Department of Civil, Environmental and Architectural Engineering (CEAE) at CU Boulder welcomes applications for the Senior Research and Grant Administrator! This position reviews, analyzes, and interprets financial data using a broad range of reporting systems to support our emerging and smaller portfolio research projects within CEAE. The Senior Research and Grant Administrator is expected to develop and integrate new systems and financial processes as well as adopt the financial and project management systems that are already in place related to research. This position will support and develop department research efforts, technologies, and innovations by advising Principal Investigators (PIs) with smaller portfolio awards (under $1 million), pilot projects, and emerging research. This position frequently collaborates with other units on campus such as the Office of Contracts & Grants (OCG), the Campus Controller’s Office (CCO) and the Office of Budget & Fiscal Planning. This position will strategically support the department’s research and innovation, enabling positive impact on society. It is expected that this position will work on 95% of the total number of research portfolio awards in CEAE and 50% of the total research portfolio funding.

Research Administration & Management:
Serve as subject matter expert and main point of contact for research projects related to terms, budget, deliverables, and scheduling.
Develop, manage, and continually support plans for risk-mitigation, communication, and scheduling of research efforts.
Communicate with PIs on project status, budgeting, reporting, financials and technical demonstrations for department research teams, companies and partners.
Oversee and support procurement for equipment and supplies for research labs as needed. Support the installation, operation, and maintenance of equipment as requested to meet project goals.
Forecast and report the status of research activities as requested from across the research teams to sponsors.
Prepare and maintain documentation for large equipment purchases and services, adhering to fiscal policies and procedures.
Identify assets and maintain an inventory of equipment and intangibles available for research applications.
Review, analyze, and interpret financial data to make projections, budgets, and reports related to the status of the project.
Contribute to the education and research activities of the department’s laboratories and Rate-Based Service Agreements (RBSAs) by assisting faculty, undergraduate students, and graduate students.
Establish, monitor, and create processes for reconciliation on awards to support the research aims of the project(s).
Innovation & Leadership:
Independently analyze reports, data, and inventories to find opportunities and make recommendations for process improvements, including monitoring and adjusting processes as needed.
Collaborate with departmental senior finance staff to create and build innovative financial processes and data management.
Network and build connections with key partners across the University, cultivating a culture of innovation, curiosity, and community.
Lead and co-lead project team meetings.
Host and lead new partner, unit, company, and governmental project meetings to introduce research applications and new opportunities.
Build and maintain documentation related to standard operating procedures (SOPs). Consistently review existing SOPs for accuracy and relevancy and make edits as needed. Ensure SOPs are shared with relevant parties in a timely manner.
Serve as backup for Financial Services Manager.
Communication:
Maintain consistent communication with key PIs and department leadership to proactively oversee grant awards' financial and process management, ensuring that administrative research efforts are led efficiently and effectively.
Provide guidance on appropriateness and compliance with regulations, ensuring compliance with all department, university, state, and federal guidelines.
Facilitate communications, including coordinating and leading meetings, with internal and external researchers, sponsors, other universities, companies, and government entities.
Work with our department and College communications staff to support marketing efforts of emerging research throughout the University and beyond.
Organize site visits, meetings, and field demonstrations based on project goals.
Create financial reports, as requested.
Prepare written materials, such as project and technical reports, as requested.
Other Duties:
Stay apprised and current on relevant University and State of Colorado policies and procedures.
Undertake other duties and responsibilities as assigned.
Participate in professional development activities and serve on unit, college or campus committees as applicable.
